Reports

For ALL Reports:

  • Sort - How is the data laid out? A sort by Company is alphabetically by Company name.
    • A sort by PubID/IssueDate/Company is a sort by Publication ID. Within each publication id there is a sort by Issue Date. Within each issue date the data is sorted by company.
  • Filter - This restricts what data is included on the report. It also affects the report totals. The total is for the filtered data.
  • Detail Level - Lesser detail levels show less data, but also keep the reports shorter.
  • Export - This button, at the top of the report menu will send the report detail to Excel®
    • Reports that do not have the Export button have are written in Crystal Report Writer and have multiple export options from the Preview button.
  • Viewing Restrictions - Sales People with an access code of 2,3 or 4 can only see reports relating to their records for any report that has a filter by sales code.

Crystal Reports

The reports that do NOT have an Export button on the main menu are written with Crystal Report Writer®.

These reports have dozens of Export Options (databases, spread sheets, word processors, text and ODBC from the PREVIEW menu). Click on the little envelop with the red arrow.

You will see a sidebar on the left hand side of each report. It will change according to the Sort option from the report menu.

You may use this to go directly to a specific area of the report without the need to go to Next Page over and over again.

 

 

 

 

 

 

 

 

Invoice, Statement, Confirmation Reports

Title of Report - Each of these is a seperate report, though the look and feel of all versions is the same. The administrator and manager may change the contents of each on the subsequent screen. You may use Format 1 or Format 2, which you setup in Configuration.

All the black on white text, below, is configurable, by the administrator or manager.

When you print these reports, the Bill To: will always be on the left hand side. If you mail with a #10 window envelop, the bill to address should show in the window.

All these reports may be renamed by the Administrator.

 

 

 

 

 

Advertising Report

Probably the report you will use the most.

 

The only suggestion I can give you here is to try various reports.

Ads with Contract End - This will allow you to see advertising that was short rated, long rated or has open ads.

For example, if a client promised six ads between 08/05/04 and 07/05/05 and gave you a schedule for three, you should have entered this in Advertising as three ads with specific issue dates and three ads with a day of month that you do not really publish.

If you were a monthly, and your issue date was always the 5th of the month:

The contract date for this client would have been 08/05/05 to 08/04/06.

the ad schedule might have looked like this:

You can see the open ads by running this report for contracts ending foward. You would typically run this report looking six months ahead.

 

This report would also show how many ads were scheduled for the contract year and what the advertiser paid for each ad. They may be due a rebate or they be paying a 3x rate but running five ads.

You could then SAVE this report by clicking the radio button next to Save order (upper left).

However, you probably would remove the date range and fill this in after you Restore order.

Advertising Agency Reports

Show All Ad Agencies and the clients they represent - with or without advertising placed.

 

 

 

 

 

 

Advertising Sales Call/Activity Report

 

This report lets sales people and managers know what is being done and what is planned.

For a report on work that has been done filter on Last Call Date range.

For a report on planned work, filter on Next Calls range.

Do not filter on both at the same time. This does work but may not show you what you actually want to see.

To limit viewing of this report to a specific sales person, their level must be 2,3 or 4 AND you must set this restriction in the Password File.

 

 

 

 

 

Commission Report

A briefer version of the advertising report.

This report will show split commissions when the Sort By is Sales Person.

 

 

 

 

Company Report

A simple laundry list of companies and people.

 

 

 

 

 

 

 

Customer Sales Report

 

Customer Sales, Current Month vs. Year to Date vs. Last Year to Date.

Good, quick comparative standing.

 

 

 

 

 

 

Production Report

Production's Basic Tool

All Details - Shows all production information for all fields, whether filled in or not.

Detail View - Like all details but omits user defined production fields that have no data.

Summary View - One line per ad, with user defined production field #1 (we recommend using that for material status).

 

 

 

 

 

Position Assigned Report


If you are validating position assignments this report verifies that no positions were oversold. It also tell you who has each position. This report is a must if you are also importing from remote sales people, as the import section does not validate whether a position is available or not.

 

 

 

 

 

Share Of Market Report

Although this is not yet a full featured competitive ad tracking system, you can report on SOM against your own publications or the competition’s, as long as you enter them into the advertising screen.

 

 

 

 

 

 

Labels


The Print Label Menu is above. The Export Label Menu is below.

Add a summary note allows you to automatically post information about the labels to any of the above memo fields in SM4. We recommend posting this information to the Memo of a Person, since not all people at a company may be getting this informaiton.

If you click on Build Custom Query, then on Preview, the Query Maker will open. You will be able to create a query or use a saved query.

When you click Export To, the screen changes to the one below.
